Import AML (Approved Manufacturer List) Data

The Propel Import function allows users to quickly and easily add and update Items, BOMs (Bills of Material), and AML data (Approved Manufacturer List data) in bulk. 

The Import AML function can be used to do several things, singularly or in combination:

1. Create Manufacturer Parts

2. Associate new or existing Manufacturer Parts to existing Items in Propel.

Source File

A correctly formatted import file populated with correct data is the most crucial element of the Import process.

Use a CSV or XLSX file to import Manufacturer Parts.

Example Import File for Creating Manufacturer Parts and associating them to Items in Propel:

  • Required Columns:
    • Account Name/Manufacturer Name: This must be an existing, valid Account (Manufacturer) record in Salesforce
    • Manufacturer Part Number
    • Item Number
    • Category Name (only required if you are creating Items via import; see step 3): This must be an existing, valid category
  • If you wish to use the auto-number feature:
    • Leave Item Number blank or
    • Don't map Item Number column during the Import process
  • Note that existing released Items cannot be updated; Propel will create a new draft of the Item instead.

 

Example Import File for Creating Manufacturer Parts (but not associating them with Items):

  • Required Columns:
    • Account Name/Manufacturer Name: This must be an existing, valid Account (Manufacturer) record in Propel
    • Manufacturer Part Number
  • Note that if your import file contains duplicate Manufacturer Part Numbers the import tool will not generate a warning; Propel will simply ignore the duplicate data in the Import file.

 

Process

1. Open Propel Setup

2. Select Import tab

3. Select data type:

Add & Update & Delete

This setting allows you to completely replace existing AML data with data in your import file. Note that the Delete option does not delete Items or Manufacturer Parts. Instead it removes Manufacturer Parts from the Item's Manufacturers tab. For example, if an Item's Manufacturers tab already lists "Panasonic ERJ-8GEYJ106V" and the import file only contains "Murata GRM155R71C104KA88D" for that item, the final result is that ONLY "Murata GRM155R71C104KA88D" will be listed.

Add and Update

This setting adds new Manufacturer Parts to the Item's Manufacturers tab and also updates any data fields in a Manufacturer Part record. It does not delete entries from the Manufacturer's tab. For example, if an Item's Manufacturers tab already lists "Panasonic ERJ-8GEYJ106V" and the import file only contains "Murata GRM155R71C104KA88D" for that item, the final result is that BOTH manufacturer parts will be listed.

Add Only

This setting adds new Manufacturer Parts to an Item's Manufacturers tab and does not remove any existing Manufacturer Parts.

Do you want to match item descriptions?

This setting should be used during an "Add and Update" Import. When an Item in the import file needs to be updated but the Item number, Manufacturer, and Manufacturer Part Number are unspecified, this setting allows Propel to identify the Item by its description. If no matching description exists in Propel a new Item will be created.

Use my last settings

This feature automatically selects the settings used during the last data import. This is useful if you frequently import the same data types.

   

4. Select Next

5. Select Drop a file or click here to upload (XLSX or CSV):

6. Select your import file

7. Map your fields by dragging them to the Field Mapping section:

9. When all the needed fields are mapped select Next

10. Review your import data and resolve any errors or warnings (you may need to backtrack to the Map Headers or Import Settings steps, or adjust your import file and re-upload):

11. Select Next

12. The Import Data stage displays records created and modified. When the import is finished, select Add Items to Change, Import More Data, or an Item Number to open that Item in a new tab:
